Outlook Tips

Looking for some quick tips for using Outlook? Read more to find out about:



Attaching a File:



First, create a new message and start composing your email (enter who you would like to send the email to and a subject of the email).


To attach a file, select the paperclip icon and locate the file you'd like to upload, once you have found the file(s), select 'Open.'


The maximum file size you can send is 20mb. If you are sending a larger file, you will need to do this through OneDrive.

 

Search your mailbox:

Use the search box at the top of the screen to search and find emails quickly. Type in a subject, key word or phrase that was likely to be mentioned in the email.


To specify and filter the location of the search, click on the down arrow in the search box to look in certain folders (inbox, deleted, sent items etc)

 

Creating Tasks and To-Do Lists


You can use your Outlook calendar to keep on track of your work and deadlines. This is a great tip to keep organised with assignments and tasks.


On the left-hand side of your screen, select the to-do option, the icon is a blue tick (see image below)


This will then bring you into Microsoft To Do. Select 'Tasks' in the menu on the left-hand side.

Here you can add in tasks for your course. If you are working on a project, this is a great way for you to organise yourself. Break down the assignment or project into tasks and write them in.

Once you have entered your title for the task, underneath, you can set when the task is due by clicking on the calendar icon and set yourself reminders by clicking on the bell icon.

If a task is urgent or important, click on the star icon to prioritise.


 

Schedule the Delivery of an Email:


Want to compose an email but send it later? Start by creating a new email. Fill in the 'to' field and type out your email. Before you go to send, select 'Options', 'Schedule Send' and then 'customise time'



Choose on the calendar the date you would like to send this email, and then below, enter the time you would like the email to be sent.


Once you are happy with all these settings, press send.


The email should then arrive at the time you entered.



 

Check Junk/Spam:

One final tip, if you are expecting an email from someone and you cannot see it in your inbox, it's always good habit to check your junk or spam folder as sometimes emails can end up there.
